Period of Performance

Training will start on your hire date and will continue through a 90-day training period. You will be required to complete the 4-week Training Check-List. After the Training Check-List is completed, your skill level will be evaluated by the Office Manager. Once you pass the evaluation period, you will be responsible for working on your own.

Job Duties/ Responsibilities:

An Administrative Assistant’s priority is excellent customer service. This job is in the main hub of the office. The key to your success is effective communication with a smile. As the first person that patients meet either in person or by phone, this position will provide a welcoming introduction to the specialty practice we offer to our patients throughout the entirety of their treatment. This position is the “face and voice” of Progressive Orthodontics, starting with new patient phone calls, greetings with a smile at the door, scheduling their next visit, and assisting them with payments. This job requires attention to detail, organization, persistence, and accuracy.

Responsibilities

Description

Answering Phones

Most of the incoming calls will consist of setting up a patient’s initial consultation. It is very important to always answer with a smile in your voice.

Greeting New Patients

You are the first face that our patient and/ or guardian will see. It is your responsibility to look presentable and uniformed. You will occasionally check on patients in the lobby.

Scheduling New Patients

The Administrative Training Manual that will cover the step-by-step details of how to schedule new patient phone calls.

Scheduling Current Patients

Schedule the next appointment and either send them a text reminder or printout a reminder. Remember to follow the scheduling guidelines. If an issue arises, place the patient on hold and inform your Office manager for further guidance.

Opening/ Closing duties

You will be assigned duties that will change. It is your responsibility to complete your chores and initial off after completion. If you find anything not in working order, please inform your Office Manager. Some of your daily side duties will include: responding to emails, Weave texting service, correspondence between dentists and oral surgeons, and handling ‘New Patient Leads’.

Running Reports

A report will be assigned to you and may pertain to insurance, appointment frequency, and payments.

Taking Payments / Collections

During your training period, any calls or questions regarding a payment will be handled by the Lead Administrative Assistant. After the main training period is complete, you’ll be trained on and responsible for payments and collections.

Scripts

This position creates patient letters and has the doctor check and sign letters. It is your responsibility to ensure the document is saved in the patient’s medical chart, as well as sent to the referred/ preferred office/ doctor.

Contracts

When a patient starts treatment in our office, they receive an official contract. Once the contract is completed by the patient it is your responsibility to witness it in its entirety. You will scan the contact into the patient’s chart, activate the contract, and set up the patient’s FPP.

Late Policy

The expectations are to clock in for every shift on time each morning. The third tardy or unexpected absence in 30-days period will result in a probationary period, any violation during the probationary period, will end in a written warning and after two written warnings will result in termination.

Job Duties/ Responsibilities:

A Treatment Coordinatoor’s priority is to see their patients in a timely, and effective manner, while maintaining the ability to educate and make connections with each patient. This job requires a kind, outgoing, sales oriented personality. This position determines every new patient’s first view and experience at Progressive Orthodontics. This job requires financial awareness, attention to detail, and accuracy. This position executes the treatment plan provided by the doctor. It is crucial that you listen to the doctor’s directions, perform the procedures correctly, work efficiently, and accurately chart the patient’s visit.

Responsibilities

Complete Every Other NPE on Time

You will be responsible for seeing every other new patient exam throughout the day. Every 30 minutes you will have another new patient exam. This position will be responsible for making sure you complete all necessary duties from the previous exam before moving on to the next patient. We want to eliminate all shortcuts that could result in emergency visits.

Form a Relationship with Your Patients

The Treatment Coordinator should be the smiling face that makes each patient want to stay and be a part of our office. Be outgoing, friendly, and personable.

SDS

Same Day Starts are becoming part of our culture. As the TC, your goal is to provide the patient with the knowledge base and confidence to convert as many patients as possible to new patients. We want to give the gift of time and convenience, ONE is preferred to get the patient started with their smile transformation. Our patients are excited to start treatment and so are we!

Have a Knowledge and Understanding of Orthodontics/Procedures

This position is responsible for thoroughly explaining each patient’s treatment plan. Thus, you must have knowledge and understanding of all appliances and procedures recommended throughout treatment. (Expanders, Space Maintainers, Extractions/Exposures, ETC…)

Chart Write Ups

This position is responsible for documenting all details from the New Patient Appointment in the patient’s chart. Be thorough and detailed in chart write ups. Details on professionalism in the patient chart are  included in the Training Manual.

Taking Payments/Contracts

This position is responsible for coordinating the down payment and writing up the contract for all Same Day Starts. You must be comfortable discussing/ handling money, and be very cautious/detailed when taking payments and creating patient proposals.

Phone Calls

Daily calls include confirming the new patient appointments for the following day, calling late arrivals and no-shows to reschedule, and follow-up calls to all new patients for their next appointment and to discuss proposal terms.

TC Checklist

Follow the TC Checklist for each and every new patient, scan in all appropriate documents, records, and leave detailed notes for all communications with the patient or guardian, billing party, insurance company.

We are seeking an outgoing, detail oriented, customer service candidate to be part of our growing business.

Period of Performance

Training will start on your hire date and will continue through a 90-day period. The first 4-weeks are strictly hands-on training. You will be required to complete the 4-week Training Check-List. After the Training Check-List is completed, your skill level will be evaluated by the clinical manager. Once you pass the 4-6 week evaluation period, you will be responsible for working on your own, however your work will be checked by the Clinical Manager or Lead Assistant.

It is crucial that you listen to the doctor’s directions, perform the procedures correctly and efficiently, and accurately chart the patient’s visit.

Following Procedures

You will follow the procedures listed in the Training Manual. The Training will guide you to follow the correct steps for each procedure. It is expected that each Orthodontic Assistant is following every procedure. We want to eliminate all shortcuts that could result in emergency visits.

SDS

Same Day Starts is becoming part of our culture. Our goal is to provide the new patient with the convenience of ONE visit. We want to get them in as soon as possible, no more than 15 mins  wait time for SDS. We are excited for them to start treatment and so are they!

Staying within Appointment Times

On average, an Orthodontic Assistant can see 15-20 patients on any given day. It is important to stay within the allotted appointment time. Each Clinical Manager will run a weekly report to ensure all Orthodontic Assistants are staying within the expected procedure times.

Detailed Chart Notes

At the end of each visit, you will record the treatment notes in the patient’s chart. The Patient’s chart is a legal medical record. All discussions between the patient, parent, and doctor must be recorded and document what was done during the appointment. Refrain from using slang or unprofessional verbiage. The Training Manual will list the codes and verbiage to be used when documenting in the patient’s chart and scheduling.

Communicating with Doctor/ Patient/ Parents

Communication is key! We encourage parents to stay involved in their loved one’s treatment by asking questions, and gage & facilitating good oral hygiene. Stay on top of delivering patient feedback,and as needed to family. This can be done in many ways, when directly walking out with the patient, by using oral hygiene videos, or by utilizing the front desk attendees to deliver any additional information to the patient and their parents. Discuss what is being done at today’s visit and what will be done at the next visit. Always introduce yourself to the patient and parent. Talk to the patient! Ask them about their day, their favorite hobbies, sports , movies, ect.vWe care about our patients! Make them Feel at home.

Opening/ Closing Duties

The Clinical Manager will assign daily opening and closing duties. Each of the Orthodontic Assistants are responsible for completing the tasks assigned to them.
